Hugo Handbook: Leave

Leave covers everything including: Paid Time Off, Parental Leave, Sick Leave, Bereavement Leave, and Hugo Recognised Holidays.


Our Leave Design Principles


At Hugo, we put our team’s well-being first, always encouraging rest, recharging, and recharging life’s big moments.


Our time off policy is all about balancing our clients'  needs with making sure our team feels their best. It's how we succeed together.



Paid Time Off (PTO)


Our PTO "bank" system is super simple. You earn 1.67 PTO days for every full month spent as an FTE, accumulating to 20 days a year


If you are an intern, simply complete your probation period, and you're all set to start accruing and using your PTO.

Carryover Days 


Enjoy 20 days of Paid Time Off (PTO) annually, with the option to roll over up to 5 days into the new year.  Remember to use them by March 31st, or they'll expire.


Coordinate with your manager to get approval and make the most of your well-deserved breaks!


Using Your PTO


Request and receive approvals for leave only in Factorial. Requests that are not logged and approved in advance on Factorial will not be considered as paid time off and will be deducted from your monthly salary. 


Plan ahead:


  • For a smooth workflow, alert your manager.


  • Taking three days or more?  Notify your manager at least two weeks in advance.


  • For a  “Long Leave”,  inform your manager and  Vertical Lead at least a month in advance.


Always stay within your leave balance. Any request exceeding your earned days won't be approved. For emergencies, you’ll need executive approval and must inform your manager and People Operations representative.

* We classify any leave that lasts more than two weeks (or 10 working days, excluding weekends) as "long leave”



Leave Approvals


When reviewing leave requests, Time-off Supervisors consider:


  • Your accrued leave balance (for paid leave requests)


  • Company operational needs


If your request is declined, your Time-off Supervisor will provide a reason to help you plan better for next time.


Becoming a parent at Hugo


At Hugo, all employees are eligible for paid maternity or paternity leave. This requires approval from your line manager and our  People Operations Team.


Maternal Leave


  • Enjoy 12 weeks of paid maternity leave.

  • Leave can start up to 6 weeks before your due date.

  • Email your request to the People Operations Team. They’ll review and direct you to log it in Factorial for approval. Just be sure to send it 8 weeks ahead.

  • Include a note from your doctor.


Paternal Leave


  • Get 2 weeks of paid paternity leave, available from 4 weeks before to 6 months after the due date.

  • Email your request to the People Operations Team. They’ll review it and direct you to log it in Factorial for approval. Just be sure to send it in 1 month ahead with a doctor’s note.


*Need more time? - Mix in your PTO or take unpaid leave- just coordinate with your line manager and People Operations Team.


Managing Illness


Sick Leave 


Feeling under the weather? Let your manager know ASAP! Hugo gives you 5 paid sick days per year. Request leave through Factorial.


You can take up to one day of paid sick leave per month without needing to submit a medical certificate – up to a total of five days in a calendar year.


If you're requesting more than one paid sick day in a month, or you've already used your five days without a certificate for the year, you'll need to provide a medical certificate or note from an authorised medical organisation.


For long-term medical issues, talk to your manager and the People Operations Team. Our Wellbeing team is always here to help.


Experiencing a Loss


Bereavement Leave


Grieving the loss of a close family member? We’re here for you. Get 15 (paid) bereavement days annually for the loss of a spouse, parent or child (including pregnancy loss that occurs from 12 weeks).


These 15 days can be taken in two instalments and will require approval from both your Line Manager and Vertical Lead.


All employees are eligible for bereavement leave.


Our Wellbeing team will check in regularly to support you.


We understand that grief is a non-linear process. If you need more time, use your PTO or take unpaid leave – just coordinate with your manager and team lead.



Holidays at Hugo


Recognised Public Holidays at Hugo


At  Hugo,  we're all about meeting our clients' needs and syncing our hours with theirs. So, we honour four official holidays:


  • New Year’s Day

  • Independence/National Day (based on your country office)

  • Id-el-Kabir

  • Christmas Day


Business Continuity During Public Holidays


As a BPO, we ensure business continuity during national public holidays. You may be asked to work on these days to meet our needs.  Your  Line  Manager and  Vertical  Lead will coordinate this.


Holiday Pay:

Requires pre-approval from the Vertical Lead.


Proactive Planning:

Line Managers and Vertical Leads would plan schedules in advance.


Working during non-recognised public holidays


Hugo operates during national holidays and may require you to work on those days.


Holiday Pay:

Working on a public holiday entitles you to holiday pay, specific to your role, project, and department.


Approval Needed:

All holiday and overtime compensation requires approval from your Line Manager and Vertical Lead.
